A delegation hands request approvals to someone else for a chosen period, for example while a manager is on leave. Who: anyone who approves requests can set a delegation for themselves. HR, Administrators and the Owner can set one on someone else’s behalf on their person page.

Set a delegation for yourself

Open delegation settings

Go to Settings → Approval delegation and click Add delegation.

Choose the delegate

In Delegate approvals to, choose a person.

Set the period

Choose the From and To dates. Both days are included.

Save

Click Save delegation.

Set a delegation on someone else’s behalf

Open the person on the People list, go to the Approval delegation section and add a delegation the same way.

What a delegation covers

A delegation covers requests submitted within the chosen period. It doesn’t change requests that are already pending. Reassign those manually — see Reassign the approval.
A delegation doesn’t work if:
  • you choose yourself,
  • it would create a chain — the chosen person already delegates, or is already a delegate in that period,
  • it would create a cycle — that person delegates back to you,
  • you already have another delegation in that period,
  • the delegate is inactive or has no access. The original approver then stands.
